Connect Yayloh returns
Summary
Section titled “Summary”The Yayloh returns tool connects your KonversAI assistant to your Yayloh account. You add it on the Assistant tools screen in the KonversAI console. Select Settings in the left sidebar, then select AI tools. Once connected, the assistant lists the returns registered for a customer, reports the status of each returned item, and shares the return shipping label when the customer asks for it. Both need a verified email address from the customer.
Who can do this
Section titled “Who can do this”A team member with the View tools permission opens the Assistant tools screen in the KonversAI console. A team member with the Modify tools permission adds, edits, validates and deletes the tool. A Tenant Admin holds both permissions, always. Without View tools, the item AI tools does not appear under Settings in the left sidebar. Ask a Tenant Admin to grant Modify tools on the User permissions screen. You also need access to your company’s Yayloh dashboard to copy the API key.
Before you start
Section titled “Before you start”Sign in to the KonversAI console and select your tenant. Select Settings in the left sidebar, then select AI tools. The screen heading is Assistant tools. See Give the assistant a tool for the fields every tool shares, such as Display name and Slug.
Copy your retailer API key from the Yayloh dashboard. Yayloh issues one key per retailer. Regenerating the key in the Yayloh dashboard makes the old key stop working at once, so plan to paste the new one into KonversAI straight away.
Add and enable an Email Verification tool in the same tenant. Yayloh returns always needs a verified email, because Yayloh looks returns up by email address. Without one, the tool answers No verified email found for this conversation.
Ask Yayloh which API version they run for you, if you know it changed. Yayloh
pins the version to a patch number, such as v1.0.1, and it moves when they
upgrade.
- Select Settings in the left sidebar of the KonversAI console, then select AI tools. Select + Add tool.
- Select Yayloh returns in Tool type. You cannot change the type later.
- Type a label in Display name, for example
Yayloh returns. KonversAI fills Slug while you type. - Type your instruction in Usage guidance for the AI assistant, for example Use this when the customer asks about a return they already registered.
- Keep the Enabled checkbox selected.
- Check the Configuration card. All three fields already hold a working
default:
- API base URL — leave as it is, unless Yayloh directs you elsewhere.
- API version prefix — the version segment Yayloh runs for you, such as
v1.0.1. Change it only when Yayloh tells you they upgraded. - History window (days) — how far back to look for returns. The default
is
365. Raise it when customers ask about older returns, because Yayloh silently hides anything older than this window.
- Fill in the Secrets card. Select Add secret on API key, paste your Yayloh retailer key in Value, then select Apply.
- Select Add tool at the bottom. KonversAI saves the tool and opens it again with the heading Edit tool.
- Select Validate and save. KonversAI makes one real call to Yayloh and shows the result in a banner. A success banner says Yayloh API key accepted.
What can the assistant do once Yayloh is connected?
Section titled “What can the assistant do once Yayloh is connected?”The Yayloh returns tool gives your KonversAI assistant two abilities. It lists every order with a registered return for the customer, with the return status and each returned item — the product, the return reason, whether it has been processed, and tracking where Yayloh has it. It also shares the return shipping label as a link. Add the tool on the Assistant tools screen in the KonversAI console: select Settings in the left sidebar, then select AI tools. Both abilities need a verified email address.
Why does the assistant refuse to look up a return?
Section titled “Why does the assistant refuse to look up a return?”Most often because the conversation has no verified email address. The Yayloh returns tool answers No verified email found for this conversation. and asks the customer to verify. Yayloh looks returns up by email address, so the tool can only answer for an address the customer has proved is theirs. Add and enable an Email Verification tool in the same tenant, on the Assistant tools screen in the KonversAI console. Select Settings in the left sidebar, then select AI tools, then select + Add tool, and select Email Verification in Tool type.
Does the assistant hand out the return label on its own?
Section titled “Does the assistant hand out the return label on its own?”No. The Yayloh returns tool keeps the label out of the returns list, and shares it only when the customer actually asks for their label or asks how to ship the item back. The assistant then sends the link and says it opens a printable label from the carrier. Each share is a separate, recorded action you can see in the conversation in the KonversAI console.
The assistant says a return has no shipping label yet. Why?
Section titled “The assistant says a return has no shipping label yet. Why?”The carrier issues the label once the return is approved in Yayloh, so a return that is registered but not yet approved has no label. The Yayloh returns tool answers This return has no shipping label yet., and the assistant tells the customer the label is not available yet rather than saying the return is missing. Approve the return in your Yayloh dashboard, and the label becomes available on the next question.
A customer asks about an old return and the assistant finds nothing. What do I change?
Section titled “A customer asks about an old return and the assistant finds nothing. What do I change?”Raise History window (days) in the Configuration card of the Yayloh
returns tool in the KonversAI console. Select Settings in the left
sidebar, select AI tools, then select the tool name in the Name column.
The default is 365 days, and Yayloh hides anything older than the window
without saying so. Type a larger number, then select Save changes.
Validate and save says Yayloh rejected the API key. What now?
Section titled “Validate and save says Yayloh rejected the API key. What now?”The banner reads Yayloh rejected the API key. Open the Yayloh returns tool in the KonversAI console — select Settings in the left sidebar, then AI tools — and replace API key in the Secrets card. Copy the key again from your Yayloh dashboard. There is one key per retailer, and regenerating it in the Yayloh dashboard makes every older copy stop working. KonversAI never shows a stored secret again, so replace the value rather than trying to read it.
Why does the customer’s contact card show Returns and Last return?
Section titled “Why does the customer’s contact card show Returns and Last return?”The Yayloh returns tool fills in the contact card in the KonversAI console when the conversation carries an email address Yayloh knows. The card shows Returns, Last return and Last return date. The Capabilities column on the Assistant tools screen shows a Contact info badge on the tool row for this reason. See Find a customer contact. The card is for your team in the console, and its values never reach the customer. The assistant still needs a verified email before it answers the customer about a return.
How do I stop the assistant answering return questions?
Section titled “How do I stop the assistant answering return questions?”Clear the Enabled checkbox on the Yayloh returns tool and select Save changes. Select Settings in the left sidebar of the KonversAI console, select AI tools, then select the tool name in the Name column. The Status column then shows Disabled, and the assistant stops seeing the tool at once. Your settings and your API key stay in place. Select the checkbox again and select Save changes to bring the tool back.
