Approve a pending action

When a connected MCP client or the KonversAI console assistant wants to change something in your workspace, most changes do not happen straight away. KonversAI stores the change as a proposal and waits for a human. You confirm or cancel each proposal on the Pending actions screen under Settings in the KonversAI console.

Selecting Confirm is what performs the change. KonversAI then runs exactly the change the card describes, and checks your permissions again at that moment.

You need the Tenant Admin or the Tenant Operator role in the workspace. Both roles see Pending actions under Settings in the left sidebar of the KonversAI console. The screen only ever lists your own proposals — nobody can confirm a change that somebody else asked for. You also need the permission the change itself needs. KonversAI re-checks that permission when you select Confirm, so a permission removed in the meantime stops the change.

The Pending actions screen appears only when API access is on for your workspace. When Pending actions is missing from Settings in the left sidebar of the KonversAI console, ask your KonversAI contact to switch the feature on.

Know that a proposal is short-lived. Each card shows Expires at with a time ten minutes after the proposal was made. After that time the change no longer runs, and the client has to ask again.

Read the card, not the chat. The card is the description of what KonversAI will actually do.

  1. Select Settings in the left sidebar of the KonversAI console, then select Pending actions. A connected MCP client can also give you a direct link to the card, which opens the same screen with the row marked.
  2. Read the first line of the card. The line says what the change does, in plain words — for example which document KonversAI publishes, or which booking KonversAI cancels.
  3. Check where the request came from. The card says either Asked in the console assistant or Asked from a connected MCP client.
  4. Check the time next to Expires at. A card past that time no longer runs.
  5. Select Confirm to perform the change. KonversAI runs the change and shows the result at the top of the screen.
  6. Select Cancel to throw the proposal away. Nothing changes in your workspace, and the card leaves the screen.

Which changes wait for me, and which run at once?

Changes that a customer or a visitor can see wait for you. Writing, editing, publishing, archiving and reactivating a knowledge document all wait. Cancelling or moving a booking waits. New guidance for a tool set waits, because the guidance changes what your assistant answers. Changing the text of an entry-point waits. Three changes run at once, because each one is a single click in the KonversAI console and tells no customer anything: closing a conversation, handing a conversation over to a human, and saving the AI preferences.

The proposal expires. Each card on the Pending actions screen under Settings in the KonversAI console shows Expires at with a time ten minutes after the proposal was made. Once that time passes, KonversAI will not run the change, and the client that asked has to ask again. Doing nothing is always safe.

Does confirming a pending action trust what the client told me?

No. KonversAI stored the change when the proposal was made, and confirming runs that stored change. KonversAI does not take a new instruction from the client at that point, and re-checks your role and your permissions before the change runs. This is why the card, not the chat, is the description to read.

Can I confirm a change that a colleague’s client proposed?

No. The Pending actions screen under Settings in the KonversAI console lists only the proposals made in your own name, whether by the console assistant or by an MCP client connected as you. A colleague confirms their own proposals on their own screen.

Where do I see a change after I confirm the change?

On the screen the change belongs to. A published document appears under Knowledge, a cancelled booking under Calendar, a closed conversation under Conversations. KonversAI also writes every confirmed change to the audit log with your name and the time.

Why is Pending actions missing from Settings in my KonversAI console?

The Pending actions screen belongs to API access, which is a per-workspace feature. The item appears in the left sidebar of the KonversAI console only when the feature is on for your workspace. Ask your KonversAI contact to switch the feature on. See Connect an MCP client.

Can I get an email when a proposal is waiting?

No. A proposal lives for ten minutes, which is shorter than an email round trip, so KonversAI sends none. The client that made the proposal tells you at once, and gives you a link to the card on the Pending actions screen. Keep the console open in a tab while you work with an MCP client.
