Upload a file to the knowledge base

You upload a file on the Import screen in the KonversAI console. KonversAI takes the text out of the file and makes one knowledge document from it. The assistant then answers customers from that document. KonversAI accepts a PDF, a TXT file or a Markdown file, up to 50 MB.

A tenant administrator, or any team member whose role has the View knowledge base and Modify knowledge base permissions. An administrator sets these on Settings > Users & permissions in the KonversAI console. If you do not see Knowledge > Import in the left sidebar, you do not have this access. Ask an administrator to change your role.

You upload a file on the Import screen in the KonversAI console. Check your file first.

The file name must end with .pdf, .txt, .md or .markdown. KonversAI refuses all other file types. The file must be 50 MB or smaller.

A PDF must contain real text. A scanned PDF is a picture of a page, and it has no text, so the import fails. Open the PDF and try to select a word with the mouse. If you cannot select a word, the PDF has no text.

One file makes one document. Split a very long manual into parts, so each document keeps to one subject.

  1. Select Knowledge in the left sidebar of the KonversAI console, then select Import. The Imports screen opens.
  2. Select + Import. The Start import screen opens with three cards: Website, File upload and Text.
  3. Select the File upload card. The card says Upload a PDF, TXT, or Markdown file (up to 50MB). Your file picker opens.
  4. Choose the file and confirm. The file name must end with .pdf, .txt, .md or .markdown, and the file must be 50 MB or smaller. The card title changes to Uploading….
  5. Wait. KonversAI opens the file import screen and shows Processing file… Extracting text content.
  6. Wait for the status to change to completed. The card File processed successfully appears.
  7. Select View documents to open the document list.

KonversAI publishes the new document at once, so the assistant can use it immediately. KonversAI names the document after the file. KonversAI also makes the chunks and the embeddings in the background, so you do not need to train the assistant.

KonversAI accepts three file types on the File upload card under Knowledge > Import in the console: PDF, TXT and Markdown. The file name must end with .pdf, .txt, .md or .markdown. Any other file type gives the error Unsupported file type. Allowed: .markdown, .md, .pdf, .txt.

The maximum size is 50 MB for one file. You upload the file on the File upload card under Knowledge > Import in the KonversAI console. A larger file gives the error File size must not exceed 50MB. Split the file into parts, then upload each part.

Can I upload a Word document or an Excel sheet?

No. The File upload card under Knowledge > Import in the KonversAI console accepts PDF, TXT and Markdown only. Save your Word document as a PDF first, then upload the PDF. For a spreadsheet, copy the text and use the Text card on the Start import screen instead.

Your PDF has no text in it. It is a picture of a page, usually from a scanner. KonversAI cannot read a picture. Run OCR software on the PDF to add a text layer, then upload the PDF again under Knowledge > Import in the console. Or copy the text and use the Text card on the Start import screen.

The upload failed with “Knowledge block capacity exceeded.” What does this mean?

Your knowledge base is at the size limit of your contract. KonversAI stopped the upload, so nothing was added. Open Settings > Cost & contract in the console to see your limit. Then delete documents you do not need under Knowledge > Documents, or ask your KonversAI contact to raise the limit. After that, upload the file again.

Can I upload several files at the same time?

No. The File upload card under Knowledge > Import in the KonversAI console takes one file per upload. Repeat the steps for each file. To add a large website in one action, use the Website card on the Start import screen instead.

How do I change the title of an uploaded document?

KonversAI names the new document after the file name. To change the title, select Knowledge in the left sidebar of the console, then select Documents. Open the document and edit the title there. The change does not affect the original file.

How do I remove a file I uploaded by mistake?

Select Knowledge in the left sidebar of the KonversAI console, then select Import. Find the card for the file and select View. On the file import screen, select Delete. KonversAI removes the import and the document it made, so the assistant stops using that content.
