Finish the continuous improvement steps

Continuous improvement is the guided setup for your assistant in the KonversAI console. Select Settings in the left sidebar, then select Continuous improvement. The page heading is also Continuous improvement. The screen has a step list at the left and one panel at the right. The seven steps are Website, Language & region, Frequently asked questions, Website analysis, Conversation scope, Tone of voice and Off-topic description. KonversAI reads your website in the background after you save Website, and writes a first draft of Conversation scope and Tone of voice for you. KonversAI writes every draft in the Default language you choose on Language & region.

In the KonversAI console, you need a role with tenant settings access. A Tenant Admin always has this access. Look for Continuous improvement under Settings in the left sidebar of the console. A missing Continuous improvement item means you do not have this access. The Settings parent item is not the test: KonversAI shows Settings when any one item under it is visible, for example AI tools or Cost & contract. Ask a Tenant Admin to change your role. A person who can view tenant settings but cannot change them reads the steps, and KonversAI refuses Save step, Save and Dismiss with an error.

Sign in to the KonversAI console and select your tenant. The screen is at Settings > Continuous improvement in the left sidebar. Continuous improvement is not behind a feature flag. Every tenant has this screen.

Have your website address ready. Website is the first step, and four later steps wait for it. Website analysis, Conversation scope and Tone of voice stay locked until you save Website. Website analysis also waits for Language & region, and Off-topic description waits for Website analysis.

Think about the last three questions your customers asked you. The step Frequently asked questions holds a maximum of 3 questions.

KonversAI writes the values from Language & region, Conversation scope, Tone of voice and Off-topic description into your tenant preferences. The same values are on the Assistant preferences screen, at Settings > AI preferences. Read Set the assistant tone and scope for that screen.

  1. Select Settings in the left sidebar of the KonversAI console, then select Continuous improvement. The step list opens at the left.
  2. Select Website in the step list. This is step 1 of 7. The panel asks What’s your website?
  3. Type your website address in the box. KonversAI adds https:// for you when you leave it out. KonversAI fills the box with the domain of your sign-in email address, so check the value before you save. The panel tells you: We’ll extract info from useful pages on this domain to train your AI agent.
  4. Select Save step. KonversAI stores the address and starts the website analysis in the background at once. KonversAI also looks for a sitemap on that domain. When it finds one, KonversAI creates a website import called Sitemap from organization URL at Knowledge > Import. Select Dismiss instead to skip the step.
  5. Select Language & region in the step list. This is step 2 of 7. The panel asks What language and region should your agent use? Choose Default language. The choices are Norwegian, Swedish, Danish and English. The assistant falls back to this language when it cannot tell which language the customer uses.
  6. Choose Default timezone on the same step. KonversAI uses the timezone for opening hours, for bookings, and to show times correctly.
  7. Choose Default country code for phone numbers on the same step. KonversAI uses this code when a customer types a phone number with no country code. Select Save step.
  8. Select Frequently asked questions in the step list. This is step 3 of 7. The panel asks What do customers usually ask you? Type up to three real customer questions in the three numbered boxes. Select a button under Common starting points — tap to add: to fill a box with a ready-made question. The buttons are Opening hours, Contact support, Return policy, Shipping, Delivery time and Payment methods.
  9. Select Save step on Frequently asked questions. KonversAI keeps a maximum of 3 questions and uses them as context when it drafts Conversation scope.
  10. Select Website analysis in the step list. This is step 4 of 7. You read this step. You do not fill it in. While KonversAI reads your website, the panel says We’re reading your website, and the step list shows the hint Working in the background…. The screen refreshes itself every 3 seconds.
  11. Read the result on Website analysis. When the analysis succeeds, the panel says Your agent just read your website. It shows how many pages KonversAI read, how many words it indexed, a Pages found list, and a What your agent now knows block with the four cards Who you are, What you do, Who you serve and Where you operate. The step list shows the hint Analysis complete.
  12. Correct the summary in Organization context on Website analysis. KonversAI writes this summary from your website. The panel tells you: Used when generating tone of voice and conversation scope. Edit if the automatic summary is inaccurate. KonversAI saves your edit as you type. Select Continue to go to the next step.
  13. Select Conversation scope in the step list. This is step 5 of 7. Move the slider How leanly should the assistant sell? and the slider How eager should the assistant be to hand over to a human? Both run from 0 to 10, and both start at 5. KonversAI uses both values as context when it writes the text.
  14. Read the text in the Conversation scope editor. KonversAI writes a first draft from your website when the field is empty. Edit the text by hand at any time. Each time you leave the editor, KonversAI reads what you wrote and prints a short Feedback note under the editor, marked Reviewing your text… while it works. The note is advice. You can save text that KonversAI comments on.
  15. Select Save on Conversation scope. KonversAI answers Save successful. Your changes are stored in tenant preferences. The warning Draft not saved. Review the text below and save when you are ready. means a draft is waiting and you have not saved it yet. Save is switched off for the few seconds a review takes, and switches on again when the Feedback note appears.
  16. Select Replace with new text on Conversation scope to ask KonversAI for a fresh draft. The button has a red border. It overwrites the text in the editor with a new version, so select it before you type your own wording, not after. Select Save to store the new text.
  17. Select Tone of voice in the step list. This is step 6 of 7. The step works in the same way as Conversation scope: read the draft, edit it, read the Feedback note, then select Save.
  18. Select Off-topic description in the step list. This is step 7 of 7. The step waits for Website analysis. Describe the subjects your assistant should treat as off topic, and the ones it should answer even though they look off topic. Leave the step empty when you have no such subjects. Select Save.

Why can I not select Conversation scope or Tone of voice?

Four steps on the Continuous improvement screen in the KonversAI console wait for an earlier step. Website analysis, Conversation scope and Tone of voice wait for Website, Website analysis also waits for Language & region, and Off-topic description waits for Website analysis. Until you save Website, KonversAI switches those buttons off in the step list, prints their titles in grey, and shows the hint Complete Website first under each title. The same words appear as a tooltip when you hold the pointer over the button. Select Website in the step list, type your website address, then select Save step. The three steps open immediately. A locked step that you reach another way shows the line Complete the prerequisite steps in the sidebar before editing this step.

What does the website analysis actually do?

Website analysis is step 4 of 7 on the Continuous improvement screen at Settings > Continuous improvement in the KonversAI console. KonversAI starts it the moment you save the Website step, and the step opens once you have also saved Language & region. KonversAI reads your homepage, then ranks the links on it and reads up to 4 more pages from the same domain, for a maximum of 5 pages. It prefers pages such as about, services, products, FAQ, support and contact. It skips login, cart, search, privacy and terms pages, and it skips images, PDFs and other files. KonversAI then writes an Organization context summary, a company profile for the four cards under What your agent now knows, and a first draft of Conversation scope and Tone of voice. The panel shows the five stages while it works: Analyzing homepage, Extracting readable content, Discovering useful pages, Reading company details and Drafting agent knowledge.

The screen says “We couldn’t finish the website analysis”. What do I do?

The website analysis failed. Open Settings > Continuous improvement in the left sidebar of the KonversAI console and select Website analysis in the step list. The panel says You can continue and fill in the next steps manually. If we already found a useful summary, you can edit it below. Under that line, KonversAI prints the reason. Could not read any content from the website. Please check the URL and try again. means KonversAI reached no readable page, so check the address for a typo, and check that the site is public. Please try saving your website URL again. is the general message. Select Website in the step list, correct the address, then select Save step to start the analysis again. You can also select Continue and write Conversation scope and Tone of voice yourself.

Which of these values also appear on the Assistant preferences screen?

Six values. The Continuous improvement screen and the Assistant preferences screen in the KonversAI console write to the same tenant preferences. Default language, Default timezone and Default country code for phone numbers from the Language & region step, plus Conversation scope, Tone of voice and Off-topic description from their own steps, all appear on Assistant preferences with the same labels. Assistant preferences is at Settings > AI preferences in the left sidebar. The sidebar says AI preferences and the page heading says Assistant preferences. Read Set the assistant tone and scope for that screen. Your three questions from Frequently asked questions and the Organization context text stay on the Continuous improvement screen only.

What is the difference between Save step and Dismiss?

Both buttons finish a step on the Continuous improvement screen at Settings > Continuous improvement in the KonversAI console. Save step stores the values you typed and marks the step as complete. Dismiss marks the step as complete and stores nothing. KonversAI treats a dismissed step as satisfied, so a dismissed Website step unlocks Website analysis, Conversation scope and Tone of voice. A dismissed Website step does not start the website analysis, because only Save step starts it. Conversation scope, Tone of voice and Off-topic description have no Dismiss button. Their buttons are Save and Replace with new text, and you leave a step you do not want by selecting another step in the list.

How do I make the assistant hand over to a person sooner?

Open Settings > Continuous improvement in the left sidebar of the KonversAI console and select Conversation scope in the step list. Move the slider How eager should the assistant be to hand over to a human? towards 10. The slider runs from 0 to 10 and starts at 5. KonversAI uses the value as context when it writes the text, so select Replace with new text after you move the slider. You can also write the rule yourself in the editor, for example Offer a human colleague as soon as the customer asks about an invoice. Select Save to store the text.

Can I edit the text KonversAI wrote for me?

Yes. Conversation scope and Tone of voice on the Continuous improvement screen in the KonversAI console both use a text editor that you can type in. KonversAI writes a first draft from your website, and the draft is only a draft until you select Save. The warning Draft not saved. Review the text below and save when you are ready. tells you a draft is waiting. Type over the text, or select Replace with new text to let KonversAI write a new version over it. Select Save when the text is right. KonversAI answers Save successful. Your changes are stored in tenant preferences.

Conversation scope, Tone of voice and Off-topic description on the Continuous improvement screen in the KonversAI console each read your text back to you. Every time you leave the editor, KonversAI checks what you wrote against what the step is for, and prints a short note under the editor with the heading Feedback. Reviewing your text… means the check is still running, and Save stays switched off for those few seconds. The note is advice, not a rule: KonversAI saves whatever text you select Save on. A check that fails or takes more than ten seconds switches Save on again and prints no note.

What language does KonversAI write the drafts in?

The one you choose as Default language on the Language & region step of the Continuous improvement screen in the KonversAI console. The choices are Norwegian, Swedish, Danish and English. KonversAI writes your Conversation scope, Tone of voice and Off-topic description drafts, the Organization context summary and the Feedback notes in that language, whatever language your website is in. Save Language & region before you open the later steps, so the first draft arrives in the right language.

Why does my website address already sit in the box?

KonversAI proposes a website address from the domain of the email address you signed in with. This happens on the Website step at Settings > Continuous improvement in the KonversAI console, and only while the step has no saved address. The proposal is a guess. Check it, correct it, then select Save step. KonversAI stores nothing until you select Save step, so a wrong guess costs you nothing.

KonversAI does not give a fixed time for Website analysis on the Continuous improvement screen in the KonversAI console. The time depends on your website, because KonversAI reads a maximum of 5 pages and a slow site takes longer. The step list shows the hint Working in the background… while the analysis runs, and the hint Analysis complete. when it finishes. The screen refreshes itself every 3 seconds, so the result appears by itself. You do not have to wait. Work on Language & region and Frequently asked questions while the analysis runs, then come back to Website analysis.
